The importance of having an effective document control procedure

Most, if not all, organizations have an existing document control procedure that must be followed by each of its members. Document control is very essential especially for businesses that deal with huge amounts of information in its day to day operation. Portions of these information need to be controlled because of the importance or the sensitivity that it contains that may affect the future of the business. This need to control enterprise information has caused businesses to demand for an effective document control procedure.


Many businesses find document control procedures as a complex process and are still trying to find ways on how to maximize control over enterprise information. The much reliance on electronic information has also contributed to the complexity of managing business information because of certain behaviors of electronic data that are outside the controlling capability of some document control procedures. The failure of businesses to control enterprise information may mean an increase in legal costs because of the risks brought about by mismanaged documents.


But the whole document control procedure need not be complex for businesses. With the improvements made in document control technology, softwares and applications are made available for companies to remedy the increasing document related risks. What businesses need to take note of is that to have an effective document control procedure, the technology that they should apply, must surpass the capabilities of centralized software options in terms of document control. Questions such as who has versions of corporate documents stored on their desktops or in email and which documents are subject to corporate compliance policies and much more that are outside the bounds of centralized repositories must be addressed by the document control application that businesses should integrate in their document control procedure.
