Guests are coming and there's so much that needs to be done. There's food that have to be served, drinks to pass out, and music to be played. Everyone should feel welcome and entertained. Even the little things that happen during occasions like this must be kept in mind...

This summer, many people will be cooking out on grills, hosting small get-togethers, and enjoying picnics with one another. Congregating with friends can be fun and exciting. This usually includes feeding your guest appropriately. While it doesn't mean you have to go all out in order for your guest to have a good time, it does mean there should be something nice for them to snack on. Remember that you are entertaining guests and not just hanging out with them. Here are some tips for you to become the consummate host at any gathering without breaking the bank...or your wallet.

  1. Create a budget. This should be done before deciding who you want to attend your event. Decide on a round park figure you want to spend. If you are prone to hosting many events, then try to schedule them within a month or two. Itemize all expenses down to the penny. Include the cost of gas if you have to travel to many places to collect the supplies. Creating a budget for your event will allow your finances to recover from any hit that may occur on the bottom line.
  2. Plan out where you want your occasion to be held. If the event will be held indoors, then the cost of the place you reserve will need to be taken into consideration. Some places may ask for you to make a deposit before hosting your occasion. Ask ahead whether you will need a deposit. Make sure you have a clear understanding as far as what you can and can't do. It makes no sense forking over your deposit because you didn't clean up afterwards or something become broken. If the event is held outdoors, make sure to plan an alternate place to host the occasion just in case the weather turns out to be bad. It would be cheaper to host the event at your home if you have the space to accommodate your guest.
  3. Establish the budget per person. Many occasions can have a budget of $75 dollars or less. Try to have a spending budget of $5 to $10 dollars per guest. If you plan on serving alcohol, expand your limits accordingly to fit the guest. Or if you plan on serving expensive foods, try to limit the portions each guest is allowed to place on their plate. If the budget includes renting out a building, then you can charge a small fee or hold a raffle contest to help recoup on the cost.
  4. Switch up the guest list. You can alternate whom you want to attend so that you will always have fresh faces at your occasion. This allows you to entertain a multitude of friends by breaking them into smaller groups. Group your guest according to what age, activities they love to do, or where you met them. If it's an office party, then invite only the people employed at the office and their guests.
  5. Plan your meal. There are many ways you can save if you plan your menu. Serving food that is bulky will cut down your food expenses. Pasta, rice, bread, salad, and potatoes are excellent as this will fill the stomachs at a quicker pace that serving small items such as chips and crackers. Plan your drink menu to include drinks that are cheap to make such as tea, water, or kool-aid if serving to kids. If you are serving alcohol, limit the servings to small cups. Not only this will help save you money, but also it will cut down on people having to leave your event intoxicated beyond reason.
  6. Shop around for specials. Shopping around for sales will help you to keep the "basics" on stock. Condiments, plates, knives, forks, and other supplies can be bought whenever a sale arises at a discount store. Shopping for "bulk items" at places such as Sam's Wholesale or Costco will help tremendously. These places have items that are sold by quantities fitting for entertaining many guests. Clip and save those coupons. These coupons can be used for last minute items that need to be purchased.
  7. Consider having the event catered. Look around for caterers who serve food to many people at once. Many caterers offer deals and will even will help plan out your menu so that it will be economical yet tasty for your guests. Go over how they expect to be paid with them prior to hosting the event and get it written down for the record. If this proves to be too costly, consider asking a few friends who know how to cook come over a day prior to help prepare the meal.
  8. Set aside money. During the times you don't have anything planned, it is wise to stash a little cash to the side. Saving a little will keep you from shelling out a whole lot of money at one time. Separate the "entertainment" money from your business or personal bank accounts. It won't hurt your pockets to set aside $5 or $10 dollars out of each paycheck. You probably won't even miss it.
  9. Host the party with a group of other people. Sharing the cost of hosting your event with others is an excellent way to save money. The cost can be divided amongst the members of the group and the tasks of preparing the menu can be split also. Delegate who will do what and how the matter will be handled. This will also help to ease any unnecessary stress. Be careful that no one overlaps each other's ideas or you will diminish the savings.
  10. Find interesting ways to entertain without spending a whole lot. If the party is help indoors, rent a few movies. You can even borrow movies from your local library to cut cost more. Most people have a board game or two as well as some cards. Invite your guests to bring their favorite game or movie. A friendly game of charades cost nothing more than a sheet of paper and a pen. A deck of cards only cost a couple of bucks. If the party is held outdoors, then try to host it next to a pool, volleyball, basketball, or some other kind of place where many people can participate at one time.

A little planning can go a long way when entertaining guests this year. It's generally the best way to show your guest a great time without putting a strain on your finances. Creating an entertainment budget helps to allow your guest to enjoy the food and have a wonderful time. Don't stress yourself trying to impress everyone because you will only become stressed out. Your occasion should be about mingling with your company and not worrying about how much time or money you invested to make it all happen. Remember to enjoy your company by sparking good conversations and having a good time. The time you spend with your guest will be priceless.
