Step 1: Identify Your Purpose
There should be a clear intention for your campaign. Is it to sell a new product? Is it to inform your clients of your company’s work? Is it to offer a sneak preview of an event? It’s important to identify this goal and stick to it throughout. It’s easy to lose sight of this when you start filling up your newsletter with design elements and other features. Make sure every part of your newsletter ties into this purpose.
Step 2: Create Text
Once the purpose has been identified, spend a good amount of time crafting text that is very catchy, relevant to your message, and compelling. Assume that the reader’s attention span is short , and get to your point fast. There’s no time in a newsletter to take your time making pleasantries. If the reader doesn’t see what the purpose of the letter is within the first few sentences, it’s an immediate delete. If there is some kind of promotion, state it as soon as possible. Don’t wait until a paragraph later – this is not like a formal letter. If there are other benefits to the offer, list them immediately, either as a
numbered or bulleted list. Keep these short and informational.
Step 3: Choose Supplemental Images and Video
To add to the power of your text, use images and video clips. Images can really capture the essence of your text and allure the reader. Similarly, video clips can also be included to engage the attention of the reader on a specific clip that might summarize the idea of your e-mail. The only point to keep in mind when using images is to not use any that are too big. They will take a long time to load, and often, messages with large image files get flagged as spam and don’t even reach the inbox of your client.
Other features that you can include in your newsletter is an option to sign-up for special offers or list. The “share with a friend” feature allows you to pass the e-mail to a friend who might be interested in its content.
Step 4: Gather Your Contact Pool
Sort through your company’s contact information and organize all the e-mail addresses. Make sure they are all valid addresses, and that there aren’t any duplicates. Clean data is important so that your message also doesn’t get flagged as SPAM.
Step 5: Test Send
Before sending out the newsletter to your contacts, make sure to do a test run and send it to e-mail accounts of various providers to make sure the newsletter appears as you have created it. After this, you’re set to go!
