How to Save Money on Business Startup Software

Business startup software and related computer items can rack up quite an expense bill as you begin setting up the small office, creating a network, and prioritizing all of the programs and equipment you need for standard business operations.

Business software is available at a discount to many small businesses and organizations, but you may need to begin a saver's membership or join a networking community to receive it. If you're looking for some simple ways to cut costs on business software and other technology supplies, here are a few tips:

1. Choose software programs that require as little training as possible. If you've got a strong, intelligent administrative team by your side, it can really help you limit how much training and tutorials you will all need to get through as you get going with each program. If training is required, let someone in the organization take the lead in learning the system and teaching it to others. This can save you hundreds of dollars in training and technical support fees that are usually billed separately by each vendor.

2. Make sure you've learned everything about multiple licenses. Many software programs require individual purchases of licenses-the codes you need to install the programs multiple computers. This is especially important if you're working in a retail setting that demands multiple work stations, or even at an office where each computer will require it's own set of programs. Make sure to ask about discounts on purchasing multiple licenses, and learn what the terms of these are so you're not left renewing each one without appropriate time.

3. Don't fall for the list price. In almost all cases, you'll be able to find software on sale or at a discount from a variety of vendors. Take the time to browse online and find an exact match; you can save over 50% just by seeking out a sale, cashing in on rebates, or taking advantage of bulk buys. Do some research and you'll stay well ahead of the game!

4. Make large purchases at the end of the fiscal year. Many vendors offer closeout prices at the end of their fiscal year, and you may even be lucky to find at-cost discounts at electronic stores eager to move merchandise out. You'll want to spend at least 4-6 weeks finding out where different vendors are, and what their average prices are. After that, narrow down 2-3 top choices and keep your eyes peeled for the next sale or markdown.

5. Learn about renewal and subscription packages early on during your research. Some business software vendors require renewal fees, subscription services, or fees for upgrading your current program throughout the year. It's a good idea to learn how often these occur so you can plan your expenses accordingly. This information can usually be found in the license agreement or terms and conditions section. If you can't locate it, take the time to call customer service and find out what the policies are for multiple-year use.

Accounting software, time management tools, and even internet networking systems can become very costly if you're working with new vendors. Plan on doing some strategic buying, especially if you're interested in purchasing a few programs at once; saving money on business startup software can be much easier when you have a plan by your side.
