Trade shows are a great way to travel, meet clients and generally network in the business world. Though, every trade show demands cooperation and responsibility to run smoothly. From pre-show booth preparation to staff handling a crisis, there are a few ways to ease show stress.

Know how to assemble your trade show booth and inform your team of how the show will operate. Many problems are resolved using simple creativity and common sense. Divide responsibilities and address issues that could occur; distribute a handbook of ways to handle different situations.

Your trade show booth staff is the biggest facilitator of your success. The grandest display, booth, graphics, and give-always won't make a difference if your staff isn't trained for any situation. Cross train team members so that they’re capable of covering each other. Your sales employees, mechanical set up and others working the trade show booth should know how to help other team members if needed. Designate a team leader: they will be in charge in case of any emergencies. If an unforeseen event occurs, your team will turn to them for direction.

Do a little research on resourceful places around the convention center, as well as where things within the convention center are located because you never know what might go wrong, and make this information available to your team at the trade show booth. Important facilities are places like the closest medical facility, airport, copy or shipping center. Knowing the convention area will save you time if last minute errands occur. Shows don’t last long and your time there is valuable.

The ACT process is valuable for decision-making, it means to: assess, coordinate and take action. When there is a problem, don’t run after just any solution. Having something go wrong can be frightening, with the substantial investment in time and money that was made to be at the trade show. Take a moment to breathe, consider every detail of the issue, and make a list of possible solutions. Plan so that every booth employee is aware of the situation, the solution, and the roles everyone will play. That way, employees won’t duplicate their efforts, while establishing complete exhibit coverage. If there are show-wide difficulties (power outages, flooding, etc.), designate one team member to be in communication with the convention center staff and have them inform booth staff, while communicating the group's needs to the convention center staff.
