Subscription Training for Java Momma Independent Baristas

Java Momma offers an amazing variety of specialty coffees and loose leaf teas along with other related products. Some of Java Momma's coffees and tea offer a subscription option, which is their version of auto-ship. In addition to an auto-ship feature, Java Momma offers subscription boxes featuring limited edition coffees, teas, and mug each month.

I noticed there seemed to be some confusion about Java Momma’s subscriptions and subscription boxes. I am hoping with this informational training presentation to clear up some of that confusion for both independent baristas and their customers. So, without further ado, let’s begin!

First, what exactly are subscriptions? In essence, subscriptions are Java Momma’s auto ship feature. When you or your customer have a coffee or tea that they have absolutely fallen in love with and want to order them over and over again, choosing the subscription option allows the products to ship automatically without having to worry or take time out of your busy schedule to order them again. That being said, you are probably curious about how often the products on subscription ship.

That’s the beauty of the subscription program, you get to choose how often you would like certain products shipped. You can select products to be shipped weekly, every other week, once a month, every other month, or every 3 months, 6 months, or even once a year. You are in control of the frequency of shipping. However, keep in mind that the subscription boxes and mug of the month have different shipping schedules, which we will get to in a little bit.

First, let’s look at what you can subscribe to and what you can’t subscribe to. Generally speaking, you can choose most of our coffees and teas to subscribe to, with only a few exceptions such as our limited edition coffees and tea. Limited Edition coffees and tea outside the subscription box option are not products Java Momma carries all year round. This is why Java Momma does not include them with a subscription option. However, ordering the subscription boxes and mug of the month do offer a subscription option but it is different flavors coffees, teas, and different novelty mugs each month.

Now, let’s go over items that are not available for the subscription option. As I have already mentioned, limited edition coffees and teas are not available for subscription. Coffee samples are designed to offer a one pot sampling experience before committing to the ½ lb or full lb options. Therefore, they are not available with a subscription option. Other coffee and tea products not available for subscription include: coffee and tea lattes, cold brew pods, single serve options, and our Matcha tea. The cocoa flavors also do not have a subscription option, including the single serve pouches. Other products exempt from the subscription option include the spiced cider, chocolates, spices & rubs, body products, and accessories, such as but not limited to tea infusers, Matcha supplies, scoops, and the Rae Dunn collection.

So, why should you suggest or push subscriptions with your customers? After all, you will only make 10% on subscriptions instead of the normal 20% commission sales. Well, for starters, customers love knowing they can save money on their favorite products. This can lead to customer loyalty and consistent sales. Financially speaking, it is better to earn 10% consistently over say a six month period than a one time order where you make a one time commission of 20%. Plus, your customer will enjoy the convenience of not running out of their favorite products.

Encouraging customers to create subscriptions are a great way to upsale and boost your overall sales. If you notice a customer ordering the same coffee time and time again, suggest and explain the benefits of putting their favorite coffees and teas on subscription. Also, if a customer seems excited about our seasonal coffees and teas, explain that they do not have to worry about missing out because subscription orders are filled first. If you know someone who likes to collect mugs, mention the subscription as a Mug of the Month Club. Momma Picks could be marketed as Coffees of the Month Club and Momma Sips as Teas of the Month Club.

Now let’s talk more about the Subscription Boxes.

Momma Picks includes 3 ½ lb bags of limited edition coffee flavors. Look at it like our 3 specialty coffees of the month. These flavors are available in the pre-order package while supplies last. If there are enough left, they will be offered in the themed month. In addition to the 3 bags of coffee, there is always a surprise gift.

Momma Sips includes 3 – 2 oz of limited edition teas. Again, this is like our teas of the month and only available in pre-order the month before and during the featured month if quantities are available. Momma Sips comes with 10 empty tea bags as well.

It is also good to know the shipping schedule for the Momma Picks and Sips. Like I said, you can start ordering the subscription boxes the month before However they do no ship until the featured month. For example, If you order November Momma Picks in October, they won’t be shipped out until October 10th. If you order November Momma Sips in October, they won’t be shipped until October 20th. Pre-ordering the subscription boxes basically guarantees that you WILL receive the coffee and tea flavors of the month. Customers also need to understand that these limited editions have limited quantities and therefore it would be a good idea to pre- order them than wait to see if the flavors will be available the featured month.

Subscription Boxes can be ordered from the 1st of the preceding month to the last day of the preceding month by 5pm EST. Subscriptions on Subscription Box orders are not processed until the next day so if you or your customer orders a subscription box on the last day of the month, it will be processed on the 1st of the next month. Therefore, if you order July’s Momma Picks on June 30th, with a subscription option, you will actually be ordering August’s Momma Picks because headquarters won’t process the order until July 1st. Also, if the last day of the month falls on a Saturday or Sunday, be sure to get in the subscription boxes, with or without subscription, in on that Friday because headquarters is closed on the weekend, thus orders over the weekend will be processed that Monday.

I also want to make a note that if you or your customer are on the fence about subscribing to the subscription boxes, keep in mind that all subscription orders are filled first before regular orders. One last thing on subscription boxes, whether you have a subscription or order month to month, the shipping on subscription boxes are free.


The Mug of the Month features a limited edition mug. Each month features a new, unique mug. Although sometimes available during their featured month, there is no guarantee that their will be enough so, encourage customers to pre-order these mugs. Mug of the Month follows the same preorder rules as Momma Picks and Momma Sips in that you need to order between the 1st of the preceeding month and the last day of the month. The same restrictions apply with regards to ordering toward the last day of the month. Be sure to get your order in by 5 pm on the last day of the month and order any subscriptions to the Mug of the Month before the last day of the month if the last day falls on a weekend or holiday.

Another difference in Mug of the Month and Momma’s Picks & Sips is that while Momma’s Picks & Sips include free shipping, the Mug of the Month is subject to the same shipping charge as with normal orders.
