1 Simple Solution to Get Organized and Stay Organized

Updated on May 4, 2014

Ms. Vincent is an M.B.A graduate, Business Consultant and health, wellness & natural healing enthusiast, who reads a lot on those subjects.

I am so busy I can't seem to get things done

I have two (2) friends who constantly complain about how they feel overwhelmed, that they aren't getting enough things done, how things keep piling up on them and how they would love to be more organized and get more things done. Well I shared with them my simple solution for how I stay organized. Guess what?

In one instance, one of my friends did follow my simple solution for getting organized and staying organized. Then a few weeks later, when we were just catching up on each other's lives over the telephone, she told me that she had started to do what I had recommended and how much she had gotten done in just one (1) week alone.

My other friend, however, has not taken my advice, and she continues to wimp and moan about how she wished she were more organized, how she will get organized and how because this or that happened she is disorganized right now but after that she'll be organized bla bla bla. And guess what? She continues to run around disorganized and not getting enough done.

This has left me with one conclusion. I believe that some people love the drama of flailing around, rushing around, forgetting dates and times and always being in near heart attack mode. To me, it makes them feel like they are truly very busy. The truth, however, is that they would accomplish much more if they would just stop and follow this one simple solution.

Here's some help organizing all those 'must haves' you need to carry around.

It's as Easy as 1-2-3!

What is this simple solution to getting organized and staying organized?

STEP 1 >>> Get a Pocket Diary, Weekly Planner and/or Desk Calendar

I love the pocket sized diaries because they are really easy to carry around and I write down home chores, work appointments and just about anything else that needs to get done in it. The times are not pre-written so I can pretty much create my own time schedule and not have a lot of wasted space as with the larger Weekly Planners.

I have also used the Weekly Planners, which are bigger and have more room for writing down things. This is another great organizing tool if you are a super busy person with lots of engagements that are time specific.

I have also used the Desk Planners at work because they allow you to see, at one glance, what you have to do for any given, day, week or month and space tasks out, add tasks or group tasks together appropriately.

Step 2 >>> Write down everything you need to do in your Pocket Diary or Weekly Planner

Make your Pocket Diary or Weekly Planner your Constant Companion. That’s right, I carry mine around with me (that’s why I prefer the pocket-sized one) in the kitchen, while shopping, while relaxing or watching television at home, while visiting a friend, at work etc.

So that wherever I am, whenever I remember I have something to do or make a new appointment, I immediately write it down in my pocket diary under the appropriate date. That way I do not have to be in a constant state of trying to remember things or trying to remember if I remembered something or if I am forgetting something or if I forgot something that I was supposed to remember. See how confusing it is without a diary or planner?

Help with organizing anything, any size, any shape!

Step 3 >>> Tick off things on your Diary or Planner as you accomplish them

I cannot explain to you the great sense of fulfillment/accomplishment I experience on any given day when I have all of the tasks I have written for that day ticked off. I am human, though, so some days although I don’t get everything on my list done, I get most of it done. So that’s a plus also.

The tasks that I still have outstanding at the end of a day, I either move them to another appropriate date or do them the following day and believe me, it all gets done on time and in right order.

Confucius said it best when he stated that “Life is really simple, but we insist on making it complicated”. I know this solution to getting organized and staying organized seems really too simple but trust me, it fulfills its purpose and ensures that you maintain your sanity and have peace of mind.

Just give it a try! What do you have to lose?

It depends on if you are referring to the artist/writer part of me who can spend twelve hours deeply engrossed in a project and be surprised at the time and the strength of her bladder, or if you are referring to the executive assistant part of me who keeps everything neatly tucked where it belongs and can pull it out at a moment's notice. : )

My mind is organized and I have a great memory, so I don't spend a lot of time staying organized with actual stuff, records, date planners, etc. To the untrained eye, I have a spotty system of organization in my home and NO organization in my car (I look like I live full-time in my car!). But in reality, everything is where I need it to be for the next time, ready to go!

@sousababy: How honest of you, sousababy. :)) I'll have to find you a New Year present/gift. Super good for your employer and your daughter! Not so good for those piles of paper :( How about using large envelopes and placing paperwork on specific subjects/topics or areas in different envelopes and then marking the subject/topic/area on each envelope for easy identification later? Bundling things like that also helps with cleaning. So instead of having to pick up say 50 dusty pages you just have say 3 or 4 large dusty envelopes.

I'm organized at work the most and with my daughter's things (but it all falls apart from there). I'm a germ-a-phobe though (so my kitchen is pretty clean). But I have piles of paperwork on most things that will hold a book.

Usually very organized, but with a couple big projects underway (framing for art show, and big family legal matter for example) other things can begin to pile up, meaning starting over making order again.
