Data Recovery Software For Dummies (Yes You Might Need It!)

Updated on July 25, 2009

Computer Crash?

Why Use Data Recovery Software?

While many computer users use surge protectors and backup power sources to protect their system from power related data loss, few users actually make sure to cover themselves against other causes of data loss.

Here, we attempt to look into data recovery software: What it’s for, who could benefit from using it, and why it works.

Why use Data Recovery Software?

Anyone who owns a computer has had to deal with it at one point or another (and usually more than once); data loss.

Traditionally, the way to deal with data loss was simply to utter a few choice words and start rebuilding the data from scratch. Power outage just as you finish up a big report? Tough luck, start over. Cat jump on the keyboard and cause your system to freeze or crash? Too bad, start over.

Luckily, we have a few different ways of dealing with the problem of data loss now. You can use a backup power source and a surge protector to protect the hardware from the potentially disc-burning problems of power surges and outages, and certainly, it’s a good idea to cover yourself from that end, but these items don’t really do much if you, say, accidentally delete a file, if your hard disk completely crashes, or if your computer catches a data-corrupting virus.

In other words, these products can protect you just fine from data loss due to power related mishaps, but it won’t do a thing to keep you safe from internal problems, viruses, human error… or the aforementioned cat jumping on the keyboard.  For those you need data recovery software.

Unfortunately, there’s not a whole lot anybody can do to prevent such problems. No matter how carefully you tread, a virus will occasionally sneak in, hard disks will start to wear out and crash more often, and, as always, cats will jump on keyboards.

Fortunately, prevention isn’t the only way to handle data loss. If you ever talk to a computer forensics team, they’ll tell you that their whole field is built on this one concept: Nothing is ever fully erased from a hard disk’s memory. Everything leaves a thumbprint, some sort of trace or remnant. Like footprints in the snow, even when a file is gone, it leaves its imprint.  Therefore data recovery software can piece together what's been lost, more often than not.

Anybody who relies on their computer to make a living would be ill-advised not to protect themselves with some way of dealing with data loss, and one of the best ways to do this is with data recovery software, which is, just as the moniker suggests, software used to recover data that has been lost due to system crashes, virus corruption, and even being accidentally moved to the recycle bin shortly before emptying said recycle bin.

Let's take just one example of data recovery software (and I'm not recommending this over any other make of data recovery software, just usng it as an example); Advanced Outlook Repair. For Microsoft Outlook users, the data recovery software is able to scan your corrupted outlook personal files, or .pst files, and look for lost content like emails and journals.

You don’t need to be an expert to use this software, either. In particular, Advanced Outlook Repair is incredibly user friendly, allowing users to recover lost Microsoft Outlook with a few clicks, drags and drops.

Whatever you do, just don't put yourself in a position where a system crash, a corrupted personal file folder or an Outlook virus is going to leave you tearing your hair out. Get some data recovery software, learn how to use it, and know you'll be just fine if something goes wrong.
